1. Who We Are

Vitruvian Project Execution™ ("Vitruvian", "we", "us") provides a business-to-business software service that helps executive teams in engineering, procurement and construction (EPC) organizations analyze project contracts, events and impacts. The service is delivered through a web application and a companion mobile application (together, the "Service"). This policy explains what data we process, why, and the choices available to you.

The Service is provided to customer organizations under a service agreement. In most cases your employer or engaging organization — not Vitruvian — decides what project material is uploaded to the Service and who may access it.

2. Data We Process

Account data. When an account is created for you, we process your name and work email address, together with authentication records (such as sign-in timestamps). Authentication is handled through Supabase Auth, hosted in the European Union (Ireland).

Project data. Customer organizations upload project documents — contracts, correspondence, schedules, reports and similar material — for analysis. This content, and the analysis derived from it, is processed solely to provide the Service to that customer. It may incidentally contain personal data (for example, names appearing in correspondence); the customer organization remains responsible for the material it uploads.

Contact inquiries. If you contact us through this website, we process the details you submit (name, company, email, message) in order to respond.

3. How We Use Data

We use the data described above only to:

  • authenticate users and operate their accounts;
  • store, analyze and present project documents and the intelligence derived from them, as directed by the customer;
  • provide support and respond to inquiries;
  • maintain the security and reliability of the Service.

We do not sell personal data. We do not use customer data for advertising. We do not build profiles of users for any purpose other than operating the Service.

4. AI Processing

The Service uses AI models to analyze uploaded project documents — for example, to extract contractual obligations, classify events and generate executive summaries. Document content is sent to Anthropic for analysis and to Voyage AI to generate text embeddings that power document search. Under our arrangements with these providers, customer data submitted through the Service is not used to train their AI models.

5. Subprocessors

We use a small number of service providers to deliver the Service:

6. Mobile Application

The Vitruvian mobile application signs in with the same account credentials as the web application and displays the same project data. It collects no additional categories of data. The mobile application contains no advertising, no third-party analytics or tracking SDKs, and does not track you across other companies' apps or websites.

7. Data Location and Security

Application data is stored with Supabase in the European Union (Ireland). Access to customer data is restricted to the customer's own authorized users and to the limited Vitruvian personnel who need it to operate and support the Service. Data is encrypted in transit, and access is controlled at the database level so that each organization can only reach its own data.

8. Data Retention

Project data is retained for the duration of the customer contract and deleted or returned in accordance with that contract when the engagement ends. Account data is retained while the account is active and removed when it is no longer needed. Contact inquiries are kept only as long as necessary to handle the request.

9. Your Rights

The Service is designed to support our customers' obligations under the EU General Data Protection Regulation (GDPR) and similar laws. Depending on where you are, you may have rights to access, correct, delete or receive a copy of your personal data, and to object to or restrict certain processing. Where Vitruvian processes project data on behalf of a customer organization, requests concerning that data are handled together with, or referred to, that organization.

10. Changes to This Policy

We may update this policy as the Service evolves. The date at the top of this page shows when it was last revised. Material changes will be communicated to customer organizations.
